An RSVP for the HOA annual meeting that gets a real headcount
Post the meeting as an event, share the link with every household, and watch the count. Residents reply with their name — no account — and the board sees who has answered. Remind only the households that haven’t. Put the agenda and last year’s minutes on the Info shelf so nobody asks for them by email.
Quorum is a counting problem
A board that cannot say how many households will attend cannot plan for a vote. A single link with a live count replaces the three reminder emails and the tally on paper. For a 120-home association with a 25% quorum, the board needs thirty households in the room or by proxy; the count tells you on Tuesday whether you have them.
Three weeks, in order
3 weeks outPost the meeting as an event with the agenda attached. Send the link to every household by email and the announcement with a push to app users.
2 weeks outCheck the count. Remind only the households that have not replied — one tap, nobody who answered hears it.
1 week outPut last year’s minutes, the budget and the proxy form on the Info shelf; send one update to the yeses with parking and the room.
The dayThe list of who said yes is your sign-in sheet. Add walk-ins by name.
AfterMinutes go to Documents; every open item becomes an Issue residents can watch move.
What residents see
The meeting, the agenda and the documents, from a personal web link or the app.
A reply with their name, mobile number and how many are attending — one per household.
Never other residents’ contact details. Only what the board publishes on the Info shelf.
