How to track team dues without a spreadsheet

  1. Set the fee and how to payOne amount per player, and the Venmo or Zelle handle parents should use. A per-family amount works the same way.
  2. Paste the rosterOne name per line from wherever it lives. Change an amount for a family with a sibling discount.
  3. Tick, then remindMark payments as they arrive. Once a week, copy the reminder — it lists only the people still owing — and paste it into the group chat.

Why the spreadsheet fails at this

The list of who paid lives on the treasurer’s laptop, the request lives in the group chat, and the Venmo notifications live on a phone. Reconciling the three is the job nobody signed up for — and the parent who paid in cash at practice is the one who gets chased.

What this tool does and doesn’t do

It keeps the list and writes the reminder. It does not collect money, send the reminder for you, or know when a Venmo arrives — you tick the box. Your roster stays in this browser on this device; open the page on another phone and it is empty. Download the CSV before you clear it.

When the season is bigger than a list

The Mela app does the rest: the fee sits on the season itself, parents tap “I’ve paid” from the same place they say whether their child is coming, the coach confirms, and one tap sends a reminder only to families still outstanding — once a day at most, one message per family however many kids they have. No per-member fee, no cut.

How do I keep track of who has paid team dues?

One list with a paid tick, an amount and how they paid, kept by one person, updated the day money arrives. Send reminders that name only the unpaid families so paid ones are never chased.

Does this collect payments?

No. Money goes straight to you by Venmo, Zelle, cash or check; this keeps the record. Mela never touches your bank.

Where is the roster stored?

In your browser on this device only, in local storage. It is never sent to Mela. Clearing browser data or pressing “Clear everything” removes it.

Can two coaches share it?

Not this page — it lives on one device. The Mela app shares the paid record between organizers and sends the reminders itself.

What about a family with two kids on the team?

Add one row per player and change the amount on the second if you offer a sibling discount, or add one row per family with the combined amount.
